How to set your color printer to print in black and white.

Let's face it. It costs at least four times more to print in color than black. One way to save money is to limit your color printing by setting your printer to black and white only. Although it varies by printer manufacturer and model, the steps are generally the same. 

Since this feature is controlled by the printer driver, you'll have to make the changes at each computer, unless the driver is installed on a server. We're assuming your printer driver is installed on each computer.

Windows 7: 
  1. Open Devices and Printers by clicking the Start button Picture of the Start button, and then, on the Start menu, clicking Devices and Printers.
  2. Right-click the printer that you want to use, and then click Printing preferences.
  3. Click the Color tab.
  4. Under Color Options, check the box next to Print in Grayscale. 
  5. Click apply, and then click OK.
Window 8 should be similar:
  1. Press the Windows key on the keyboard to open the search bar.
  2. Type Printer in the search bar and press enter/return.
  3. Click on Devices and Printers.
  4. From there, it should be similar to above steps (Windows 7).
When you want to print in color:
  1. Open the document to print.
  2. Either click File, Print or type CTRL + P to open the print dialogue box. 
  3. Click Preferences.
  4. Click the Color tab.
  5. Under Color Options, check the box next to Print in Grayscale.
  6. Click OK.
  7. Then Print.

Email question about data security in an old copier.

As you may or may not have seen during your visits to our company, we have a very large, older printer/copier/scanner/fax machine. We do not use it and it is just collecting dust. My boss is wanting to sell it, but is worried about any data saved to the memory and would like the data wiped. So, for the questions, does your company provide a service that wipes data from older or unused machines? If you do, how much would such a service cost? If you do not, can you recommend someone trustworthy whom I may get in contact with? Last question. Once I have had the data wiped on the copier, would you company be interested in buying it from us?

Sara,

Thank you for contacting me about this. Security in copiers and multifunction devices is a hot topic. It is a very real threat. Digital copies of scanned or copied images are stored on the hard drives of most of these devices. The best and most complete method to eliminate the threat is to remove the hard drive from the device. Then, to make the device functional again, it would be necessary to install a new hard drive.

Is it worth it? 
That depends on the particular device you have. What brand and model is it? How many pages are on its meter (think of the odometer in your car)? At best, you might get wholesale price for the sale of your old copier. There are a few outlets that might be interested. At Southeastern Laser, we sell mostly new equipment and a few, if not rare, used pieces usually limited to HP and Xerox brands. On occasion, we have sold refurbished Lexmark and Canon devices, too.

Bottom line
I recommend removal of the hard drive from your old copier. We can handle that for you at a charge of $150. Then, we can contact our outlets to see if anyone would be interested in buying it from you, as is. If not, we can take the copier to a local recycle center for you.

Is a cheap printer really cheap?

Do you print more than 150 color pages per month?

It may surprise you at how much cheaper it is to buy and use a more expensive laser printer. 

We compared two Hewlett Packard color laser printers:

The chart below shows the break even point between these two printers is around 7,000 printed pages.  After printing 7,000 pages on the HP CP4025, you should still be on the original set of toners.  As usage goes up, so do the savings.

How long do you plan to own your printer? 
Let's say you're about average and will get four years out of your next printer.  Do you think you will print more than 7,000 pages in four years, or about 150 pages per month on average?  Of so, then the more expensive printer in our example would cost less to own and operate over that period.
